Requirements
Documents are recorded and made Public Record in the County
Auditor's Records Section. We offer various services along with being
the repository for Cowlitz County's recorded documents. The primary
types of documents are land records, though we record many other
miscellaneous documents. We also maintain marriage, old birth, and old
death records. Many customers use our records to perform genealogy
research. Other duties include performing record searches, issuing
photo and certified copies.
The fees for recording documents vary depending on the document type.
Please be aware that there are mandatory form requirements for all
recorded documents.
In November 1997 we began using a new recording system, CRIS+plus. Our
system utilizes imaging technology which provides instantaneous
viewing of all documents recorded since November 1997. We have also
began adding scanned images of all recorded maps dating back to the
1800's.
In 1999, we recorded 32,862 documents and in 2000, we recorded 27,601.
- Death records: July 23, 1891 through March 17, 1907.
- Birth records: June 4, 1891 through May 1, 1907.
- Marriage records: 1867 - present

Public Records
Information
Most of our records are indexed in alphabetical order by name.
To find a document in the Records Section you will need at least one
party's name and approximate date of transaction.
We maintain marriage records applied for in Cowlitz County. In order
to obtain a copy of one you must have the name of either the bride or
the groom and the approximate date of marriage.
We are unable to research by address.
We can do minimal research by legal description or parcel number,
depending on the document type and the date of recording.

Genealogy Research
Using the records that are available in our Public Records room our
customers search for genealogical history. Our staff assist on-site
customers by teaching them how to search and assisting when necessary.
Most original documents have been filmed and are easily accessible on
microfilm.
Our office is a short distance from the Cowlitz County Health
Department where customers can order copies of all Washington State
birth, death, and marriage records. They have birth and death records
from July 1907 to present and marriage records from 1968 to present.
If you are unsure what county the birth, death or marriage was
filed/recorded you will need to contact each county directly if the
event took place prior to when the state has the records.

Mandatory Form
Requirements
-
All Mylar's need to have a Notary Seal of Black
Permanent ink.
-
All names on documents must be typed or clearly printed.
-
An excise tax affidavit is required before recording any deed,
real estate contract, easement or conveyance (with monetary
consideration). This affidavit can be obtained through the Cowlitz
County Treasurer's Office.

Maps must have all mandatory signatures. Please see appropriate
jurisdiction for mandatory signature and form requirements.
-
Some form requirements are set by state statute, where others are
set by jurisdiction.
-
All instruments presented must have all seals legible and capable
of being imaged.
-
All pages of the document should be on sheets of paper of a weight
and color capable of producing a legible image.
-
Pages should not be larger than 8 1/2 inches wide and 14
inches long.
-
The text of the document should be printed in 8 point type
(approximately 1/8 inch) or larger.
The first page of the document (this does not apply to mylars) must
include:

A three inch top margin and one inch margins on the left, right
and bottom
-
Return Address on the top left-hand side of the page (may be in
the top three inch margin)

Title(s) of the instrument
-
Reference number(s) of documents assigned or released
-
Grantor(s)
-
Grantee(s)
-
Abbreviated legal description with lot, block, plat or section,
township, and range
-
Assessor's tax parcel number
-
For each of the above types of information, if all data is not
listed on the first page you must provide a reference with the page
the document which contains the remaining information.

No attachments may be affixed to the pages.
Please note:
If the document does not conform to the requirements, a cover sheet
containing the required information must be completed by the customer.
The cover sheet shall become the first page of the document. An
additional page fee shall be collected for recording the cover sheet.
The cover sheet need not be separately signed or acknowledged.
Information on the cover sheet shall be used to generate the auditor's
grantor/grantee index.
